Program
The Apollo Bay Chamber of Commerce Sponsorship Program provides structured support to local events, festivals, and community initiatives that contribute positively to the local economy and community which aligns with the Apollo Bay Chamber of Commerce Values and Purpose.
Support may include financial contributions, equipment hire, and, in limited circumstances, insurance coverage.
This policy ensures sponsorship decisions are consistent, fair, and aligned with Chamber objectives and available resources.

Sponsorship Options
* Community Supporter *
Equipment Loan Only
Contribution: Access to Chamber-owned equipment (no cash contribution).
Inclusions:

Loan of selected equipment (small items only)

Acknowledgement of Chamber support in event materials.
Equipment Conditions:
-
Basic items only - no marquees
-
No access to electrical or high-value items.
-
Must be booked in advance and collected/returned on time.

Monetary contribution as well as equipment loan
Contribution: $500
Inclusions:
-
Logo on event website/program.
-
Social media acknowledgement.
-
Opportunity to place promotional material at the event.
-
Recognition of Chamber sponsorship across event communications.
Equipment Access:
-
Free hire of small, non-electrical items.
-
Electrical items or large/high-value items available at rental rate (PA system, lighting, generator, large marquee)
* Growth Sponsor *
Monetary contribution as well as equipment loan
Contribution: $1000
Inclusions:
-
All Support Sponsor inclusions.
-
Logo on printed event signage (if applicable).
-
Verbal acknowledgement during the event.
-
Priority access to equipment bookings.
Equipment Access:
-
Free hire of small and medium items, including some electrical items.
-
Large or high-value items available at a rental fee (large marquee, full PA system, lighting rigs)

Monetary contribution as well as equipment loan
Contribution: $1,000+
Inclusions:

All Support and Growth sponsor inclusions
-
“Major Sponsor” status for the event

Premium logo placement.

Option for a Chamber stall or banner at the event.

Opportunity for a representative to speak or present, if appropriate.
Equipment Access:
-
Free hire of all Chamber-owned equipment, subject to availability.
Eligibility
-
Sponsorship is available only to current financial members of the Apollo Bay Chamber of Commerce.
-
Applications must be submitted by the event organiser or an authorised representative.
-
Events must demonstrate a clear community, economic, or visitor benefit to the Apollo Bay region.
Application Timeframes
-
Sponsorship applications must be submitted a minimum of six (6) weeks prior to the event date.

Applications received outside this timeframe may not be considered due to committee meeting schedules, budget constraints, or equipment availability.

Requests involving equipment hire or insurance support should be submitted as early as possible.
Approval Process

All sponsorship requests are subject to committee approval.

Approval is based on:

Alignment with Chamber objectives
-
Community and economic benefit
-
Available budget and equipment
-
Event scale and timing
-

Approval in principle does not confirm equipment availability until approved in writing.
Equipment Hire & Loan
-
All equipment loan or hire is managed through the Chamber’s Equipment Hire Application Form.

Applicants must complete the form in full and formally agree to the Equipment Hire Terms and Conditions prior to equipment approval or release.

The Equipment Hire Terms and Conditions govern responsibility, care, liability, damage, loss, collection, and return of equipment.
Availability & Priority
-
Equipment is subject to availability at the time of approval.
-
Allocation priority is determined by sponsorship tier and approval date.
Insurance
-
Where the Chamber is requested to provide insurance coverage for an event, this support will be recognised as Major Sponsor level.
-
In these circumstances, the provision of insurance replaces any monetary sponsorship contribution.

All insurance requirements must be disclosed at the time of application and may require additional documentation.
Recognition & Acknowledgement

All sponsored events must acknowledge the Chamber’s contribution across relevant promotional channels, which may include:

Chamber branding must be used as supplied and not altered.
Post Event Reporting
-
A brief post-event report to be provided within 14 days of the event.
-
Reports should include attendance figures, a short summary of outcomes, and evidence of Chamber recognition.

Failure to provide a report may affect future sponsorship or equipment hire approvals.

General Conditions
-
Sponsorship support is subject to annual budgets and available resources.
-
Sponsorship is not guaranteed from year to year.
-
The Chamber reserves the right to decline, withdraw, or amend sponsorship where conditions are not met or event details materially change without notice.

Where equipment is provided, the Equipment Hire Terms and Conditions form part of the overall sponsorship agreement.
